01Who we are
Igniteweb is a trading name of RCP Associates Ltd, a company registered in England and Wales, based in Southampton, Hampshire. In this policy “we”, “us” and “our” mean RCP Associates Ltd trading as Igniteweb.
We are the “controller” of the personal information described here, which means we decide how and why it is used. You can contact us about this policy or your information by calling 07438759125, or through the contact form on this website.
02What we collect
When you fill in our contact form: your name, business name, email address, phone number (optional), the services you are interested in, your team size, when you would like to start and anything else you choose to tell us.
When you call or work with us: notes of our conversations, project details, billing and payment information, and the access details and content you share so we can deliver our services.
When you visit this website: our hosting provider may record basic technical information such as your IP address, browser type and the pages you visit, for security and to keep the site running. If you accept analytics cookies, Google Analytics also collects information about how you use the site, such as pages viewed, buttons clicked and the type of device you use.
03How we use it and why
To reply to your enquiry and arrange your free chat. Our lawful basis is our legitimate interest in responding to people who contact us.
To provide the services you have asked for, manage your account and invoice you. Our lawful basis is performing our contract with you.
To keep financial records and meet tax and legal duties. Our lawful basis is legal obligation.
To send you occasional news or tips by email, but only if you have agreed. Our lawful basis is consent, and you can unsubscribe at any time.
We do not sell your information, and we do not use it for automated decisions that have legal or similarly significant effects on you.
04Who we share it with
We only share your information where we need to, with trusted providers who help us run our business. These include our website host, form and email providers, Google Analytics (only if you accept analytics cookies), accounting software, cloud storage, and the platforms and tools we use to deliver your project (for example advertising platforms or automation and AI tools).
These providers may only use your information to provide their service to us. We may also share information with professional advisers (such as our accountant) or where the law requires it.
05International transfers
Some of our providers store data outside the UK. Where that happens, we make sure appropriate protections are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
06How long we keep it
Enquiries that do not lead to work are kept for up to 12 months, then deleted.
Client and billing records are kept for 6 years after our work together ends, to meet tax and legal requirements.
Marketing preferences are kept until you unsubscribe.
07Data we handle for our clients
When we build websites, automations or AI tools for a client, we may handle personal information belonging to that client’s own customers. In that case the client is the controller and we act as their “processor”, using the data only on their instructions and to deliver the agreed work. We are happy to sign a data processing agreement on request.
08Keeping it safe
We use sensible security measures to protect your information, including secure passwords, two-factor authentication where available, limited access, and reputable providers. No system is perfectly secure, but we take care to keep risks low and will act quickly if something goes wrong.
09Your rights
Under UK data protection law you have the right to: ask for a copy of your information; ask us to correct it; ask us to delete it; ask us to restrict or object to how we use it; ask for it to be transferred to someone else; and withdraw consent at any time where we rely on consent.
To use any of these rights, call us on 07438759125 or use our contact form. We will reply within one month. There is normally no charge.
10Cookies
We use Google Analytics 4 to understand how visitors use our website so we can improve it. These cookies are only set if you click Accept on our cookie banner; if you decline, no analytics cookies are used. You can change your choice at any time by clearing this site’s cookies in your browser. Google Analytics is provided by Google, which may process data outside the UK under appropriate safeguards. We do not use advertising cookies.
11Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk or 0303 123 1113.
12Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
